What this lead generation template does
Every 4 hours the agent reads your ideal customer profile, searches public sources for companies that fit it, visits each company website to check size, industry and recent signals such as hiring or a new product, and writes a short reason why the company is a good fit. It then compares the list with what it found on earlier runs and with the records already in HubSpot, so your team only sees companies that are genuinely new.
The result is a short list of qualified leads, each with a fit score, a one line reason and the source page. After a team member approves the batch, the agent creates the companies in HubSpot with an owner and a lead source, ready for outreach. You can read more ideas for sales teams on the sales use cases page.
The schedule and why it runs every 4 hours
The default schedule is every 4 hours in America/New_York, written as the cron expression 0 */4 * * *. New hiring posts and company news appear all day, so frequent runs keep fresh leads flowing into HubSpot, and memory skips every company already seen, so no run repeats work. You can change the interval or the timezone by editing the sentence, for example "every weekday at 07:00 London time".
One run usually takes a few minutes. Each run counts as one run against your monthly limit, and the AI steps count as AI calls. Starter includes 300 runs and 3,000 AI calls per month, so a lead agent every 4 hours (about 180 runs) still leaves room for several other crons.
Each step in the agent
- 1Read the profile from memory. The agent loads your ideal customer profile and the list of companies it already reported.
- 2Search the web. A web fetch step collects candidate companies from public directories and news pages that match your industry and region.
- 3Research each company. A browser step opens each company website and reads team size, product and hiring signals.
- 4Score the fit. An AI step scores every company against your profile and writes a one line reason.
- 5Remove duplicates. A condition step drops companies already in memory or already in HubSpot.
- 6Approve the batch. An approval gate pauses the run so a rep can review the list.
- 7Create records in HubSpot. The integration step adds approved companies with owner and lead source.
How memory keeps leads from repeating
After every run the agent writes the domains of all companies it reviewed to memory, including the ones it rejected. On the next run it reads that list before researching anything, so it does not spend AI calls or browser minutes on companies it has already judged. If you reject a company during approval, it stays rejected until you clear it from memory.
This is the difference between a recurring agent and a prompt you paste into a chat window. The longer the cron runs, the sharper the list gets. Learn more in memory and approvals.
How to customise it for your market
- Rewrite the profile sentence with your industry, region, company size and buying signals.
- Raise or lower the minimum fit score that reaches the approval step.
- Add a Slack message so the sales channel sees how many new leads arrived.
- Swap HubSpot for Google Sheets if you want to review leads before they reach the CRM.
- Change the HubSpot owner rule, for example round robin by region.
Test every change in dry run mode. A dry run shows the full output and log without writing to HubSpot.
Who this template is for
It suits small sales teams and founders who sell to businesses and want a steady flow of researched accounts without paying a researcher to build lists by hand. If a rep spends five hours a week on list building, a lead agent running through the day can give most of that time back for conversations. It also works for agencies that prospect for several clients, with one cron per client profile.
Frequently asked questions
Does the agent send cold emails?
No. This template only researches and adds companies to HubSpot after approval. If you add an email step yourself, it will also wait for approval before anything is sent.
Where does the agent find companies?
It reads public web pages such as company websites, directories and news pages. It does not log into third party sites unless you give it credentials for a site you own.
What happens if HubSpot is unavailable during a run?
The integration step retries three times with backoff. If it still fails, the run is marked failed, you get an alert, and the approved leads stay in the run log so nothing is lost.
Can several reps share one lead agent?
Yes. On Pro and Teams several seats can view and approve runs. Pro includes 5 seats and Teams includes 25.
How many leads does one run produce?
That depends on your profile and the cap you set. Many teams start with a cap of 10 to 20 new companies per run so the approval step stays quick.
